Climatise Limited ("Climatise", "we", "us") collects personal data that you provide directly when creating an account, booking a demo, or contacting us. This includes your name, email address, company name, job title, and phone number.

We also collect usage data automatically through our platform, including IP addresses, browser type, device information, pages visited, and feature usage patterns. This data helps us improve the platform and provide support.

When you use Climatise to calculate emissions, you may upload business data such as energy invoices, travel records, and procurement data. We process this data solely to provide our carbon accounting services to you.

2. How We Use Your Data

We use the data we collect for the following purposes:

  • Providing, maintaining, and improving the Climatise platform
  • Calculating and reporting greenhouse gas emissions on your behalf
  • Communicating with you about your account, updates, and support requests
  • Sending relevant product updates and sustainability insights (with your consent)
  • Complying with legal obligations, including UK GDPR and the Data Protection Act 2018
  • Conducting anonymised, aggregated analysis to improve our emission factor database

We process your data under the following lawful bases: performance of a contract, legitimate interests (improving our services), consent (marketing communications), and legal obligations.

3. Data Storage and Security

Your data is stored on servers located in the United Kingdom and the European Economic Area. We use industry-standard security measures aligned with ISO 27001 to protect your data, including encryption at rest and in transit, role-based access controls, regular penetration testing, and continuous monitoring.

We retain your personal data for as long as your account is active or as needed to provide you with our services. Following account termination, we retain data for up to 12 months before secure deletion, unless a longer retention period is required by law.

4. Your Rights

Under UK GDPR, you have the following rights regarding your personal data:

  • Right of access -- request a copy of the personal data we hold about you
  • Right to rectification -- request correction of inaccurate or incomplete data
  • Right to erasure -- request deletion of your personal data in certain circumstances
  • Right to restrict processing -- request that we limit how we use your data
  • Right to data portability -- receive your data in a structured, machine-readable format
  • Right to object -- object to processing based on legitimate interests or direct marketing
  • Right to withdraw consent -- withdraw consent at any time where processing is based on consent
